Issuing and escalating an early warning (NEC)
How to send an early warning notice, record that you sent it another way, and turn it into a compensation event.

Once you have recorded an early warning (Creating an early warning and estimating its impact (NEC)), the next steps are to tell the other party and, if the matter becomes a change, to escalate it to a compensation event. This article covers both.

Previewing the notice
Open the early warning and select Send Notice. Coreloops builds a PDF notice from the early warning.

The notice shows the reference, title, description and the clause 15.1 effects you ticked. It includes a line stating that it is raised in accordance with clause 15.1. It does not show your cost or time impact estimates, likelihood, severity, risk score, risk handling or mitigation. Those stay internal.
Issuing by email from Coreloops

Select Send Notice and choose to send by email.
In To, choose the recipient. Your project's named parties are suggested, and you can pick any other contact in your directory. You can also type an email address that is not in Coreloops.
Use Copy to for anyone else who should receive it, such as the Supervisor. Contacts outside your Coreloops account can be added here too.
Check the subject and message. The email is plain text and does not contain links into Coreloops, so the recipient does not need an account. The email is sent in your name and company, and a reply goes straight back to you.
Choose whether to include attachments (see below).
Select Send. The early warning is marked as issued, and the date and time are recorded in its history.
Downloading the notice and sending it yourself
If you send notices through the client's own system, or by another route, you can still keep your register complete.
Select Download to save the PDF notice. If you chose to include attachments, you can download everything as a single zip file named after the notice.
Send it however you normally would.
Back in Coreloops, mark the early warning as issued, and record the date it was sent.

This matters because the date you notified is the evidence you may later need. Record it on the day you send it.
Attachments
Attach supporting documents to the early warning. When you issue it, choose whether they go with the notice. The register and a change summary are optional extras that you can include or leave out.
Escalating to a compensation event
If an early warning turns into a change, escalate it rather than starting from scratch. The details carry across, so you do not retype them.

Open the early warning and select Escalate to compensation event.
Choose whether to create a new Compensation Event or add to an existing Compensation Event

Choose which clauses apply for the compensation event from the list (the clause 60.1 events, including any Z clauses your contract adds).

A new compensation event is created in the Potential status, with the early warning's description and your estimates carried across as a starting point.
The early warning now shows the compensation event it escalated to, and the compensation event links back to the early warning. Selecting either takes you to the other.

From here, carry on with Creating, editing and quoting a compensation event (NEC).
Linking several early warnings to one compensation event
Sometimes a single change comes from more than one early warning. When escalating, you can link additional early warnings to an existing compensation event.

Risk reduction meetings
Your contract may require regular risk reduction meetings. Coreloops allows you to export your open early warnings as an agenda, and you can record actions against each with an owner and a due date.
What Coreloops does not do
Coreloops does not currently remind you automatically about early warnings, and it does not raise notices for you. You choose when to issue. The reminders described in Issuing, managing and publishing a compensation event (NEC) apply to compensation events only.
