The Document Numbering feature allows companies to maintain consistent and sequential document IDs when transitioning from another platform. It ensures that your newly generated documents in Coreloops continue numbering from where you left off, helping maintain continuity and avoid duplicates.
1. What Is Document Numbering?
When users create documents in Coreloops (such as invoices, purchase orders, quotes, etc.), the platform can automatically assign a sequential number.
For example, if your previous system's last invoice was INV-463, you can configure Coreloops to begin at INV-464.
This setting:
Helps teams maintain document order across platforms.
Prevents duplication or confusion.
Saves time by automating number generation.
2. Where to Set It Up
Document numbering is configured in your Platform Settings:
Click the avatar/profile icon in the top-right corner.
Select Settings.
Click the Document Numbering tab.
3. How to Configure Document Numbering
For each supported document type, you can set:
Prefix: Short identifier used before the number (e.g.,
INVfor invoices).Starting Number: The next number you want the system to use.
Example:
If your last invoice was INV-463, you can enter:
Prefix:
INVStarting Number:
464
Then, the next invoice you create will automatically be numbered INV-464.

Invoices
Quotes
Purchase Orders
Payment Applications
Credit Notes (if applicable)
etc
4. How It Works During Document Creation
Once configured:
Any new document created in the Documents section will auto-fill with the next available number based on your settings.
Numbers will increment sequentially (e.g., INV-464, INV-465, etc.).
Manual override is available if needed (based on permissions).
5. Notes & Tips
Each document type must be configured separately.
If no prefix/starting number is set, numbering starts at 1 by default.
You can update numbering sequences at any time (admin-only).
This setting does not affect documents created before setup.
6. Who Can Set This?
Only Admin users can access and modify the Document Numbering configuration.
